School Documents That May Need Notarization: What Parents and Students Should Know
When you think about documents that need a notary, school paperwork may not be the first thing that comes to mind. However, parents, students, homeschool families, and college students may occasionally be asked to have certain education-related documents notarized.
Not every school document requires notarization. Requirements can vary depending on the school, school district, college, university, state, or organization requesting the document. It is always a good idea to check with the school or institution before scheduling a notary appointment.
Common School-Related Documents That May Need a Notary
Here are some examples of education-related documents that may require notarization:
Homeschool Affidavits
In Arizona, parents or guardians who choose to homeschool are required to complete, notarize, and file a homeschool affidavit with the county school superintendent. Arizona law generally requires this to be done within 30 days of beginning home instruction.
This is one of the clearest examples of a school-related document where notarization is specifically required.
Residency Affidavits
Some schools or educational institutions may request a notarized affidavit of residency or another sworn statement concerning where a student lives. Requirements vary by school district and situation, so check with the school to determine exactly what is required.
Parent or Guardian Authorization Forms
A school, college program, extracurricular organization, or educational activity may sometimes require a parent or guardian to sign an authorization or consent document in front of a notary.
Examples may include certain:
Student travel authorizations
Permission or consent forms
Educational program documents
Affidavits or sworn statements
Authorization forms involving a minor
The organization requesting the document should tell you whether notarization is required.
College and University Documents
College students may occasionally encounter documents that require notarization. For example, the U.S. Department of Education's Federal Student Aid procedures include situations in which a student who cannot appear at their school must have a Statement of Educational Purpose completed with a notary.
Other documents may also require notarization depending on the college, university, scholarship program, financial-aid office, or other institution.
Documents for Students Attending School Outside the United States
Students applying to schools, universities, or educational programs in another country may encounter documents that require notarization or additional authentication.
These requirements can be more complicated because the document may also need certification, authentication, or an apostille before it can be used internationally.
If you are unsure whether your document needs an apostille or additional authentication, check with the receiving school or organization before having the document notarized.
What About Transcripts, Diplomas, and Report Cards?
A common question is whether a notary can notarize a diploma, transcript, or report card.
Generally, a school-issued document does not automatically need notarization simply because it is being used for school purposes. Schools and colleges typically have their own procedures for providing official transcripts and academic records.
If an institution specifically asks you to provide a notarized copy, notarized affidavit, or another notarized document, follow the instructions provided by that institution.
A notary does not determine whether a school document is considered "official," and a notary does not verify the academic information contained in a transcript or diploma.
What Should You Do Before Your Appointment?
Before scheduling your notarization, contact the school or organization requesting the document and ask:
Does this document actually need to be notarized?
Who needs to sign it?
Does the signer need to sign in front of the notary?
Does the document require an acknowledgment, jurat, or another specific notarial act?
Are there additional requirements after notarization?
Having these questions answered ahead of time can help make your appointment easier and prevent delays.
